This policy explains what personal data Galactic Automation BV ("we", "us") processes when you use the DataVault website and platform, why, and the rights you have under the EU General Data Protection Regulation (GDPR).

2. What we collect and why

Data conciergeThe question you submit, and your email address if you choose to provide one. Used to answer you, to follow up if you asked us to, and to understand what visitors are looking for. Legal basis: legitimate interest; consent where you give an email for follow-up.
Platform accountsName, email, organisation and a securely hashed password. Used to provide and secure your account. Legal basis: performance of a contract.
Usage & technicalBasic technical logs (such as request metadata) needed to operate and secure the service. Legal basis: legitimate interest.

3. Data held in the vault

DataVault aggregates open and official data from public sources. Where such data happens to contain personal data (for example a company director named in a public business register), we process it on the basis of legitimate interest to provide a data service, the source remains the authoritative record, and we honour the rights described below. We do not enrich this data with non-public information.

4. How long we keep it

Concierge questions and any email you provide are retained while they remain useful for improving the service and for follow-up, and are deleted or anonymised when no longer needed. Account data is kept for the life of the account and a limited period afterwards as required for legal and security purposes.

5. Who we share it with

We do not sell personal data and we do not use it for advertising. We share it only with service providers who help us run DataVault (such as EU-based hosting), under contracts that require them to protect it, and where the law requires disclosure.

6. Where it is processed

DataVault is hosted within the European Union. Where any processing would involve a transfer outside the EU/EEA, we put appropriate safeguards in place as required by the GDPR.

7. Your rights

You have the right to access, rectify, erase, restrict and object to the processing of your personal data, and to data portability. To exercise any of these, contact us at stijn@thedatavault.eu.

You also have the right to lodge a complaint with the Belgian Data Protection Authority (Gegevensbeschermingsautoriteit / Autorité de protection des données), Rue de la Presse 35, 1000 Brussels — dataprotectionauthority.be.

8. Security

We use appropriate technical and organisational measures to protect personal data, including encryption in transit, hashed passwords and access controls. No system is perfectly secure, but we work to keep risk low.

We may update this policy; the date above shows the latest version. Material changes will be reflected here.
